Creating and Using Templates with MetriQ Time Tracking Software

| In
this 3 level structure example, a new Folder called Template
1 has been constructed in the normal way (see Folder
Overview). To actually turn this folder into a template, do
the following: |
| Reusing Templates: | |
Once
the template has been created, you can use it to build your
business structure. In this example, the Template constructed
above has been re-used to create a new Client called Hicks,
March & Barnett. To do this, right click your mouse in the
Folder View (anywhere except on an
existing Folder) and choose Use a Template.
When the Template Dialog box opens, select the name of the template
you wish to use to create your new Folder (in this case the
template name will be Template 1),
and enter a name for the would be new Folder. Press Okay to
complete this operation. Note: You can also use templates to build onto existing folders , see also Partial Templates below. |

Use partial templates to build your business Folder structure piecemeal. To add a partial template to an existing folder, right click a Folder in the Folder View. From the context menu choose New > Use a Template or File > New > Use a Template from the main MetriQ menu. When the Template Dialog box opens, select the name of the template you wish to use to add to your existing Folder, and enter the name of the new Sub-Folder. Press Okay to complete this operation. |
Creating a Template:
To create a new template, first build the folder structure
that want to use in your template (see Folders).
You can also add icons to this folder and assign Limited Privileged
Staff.
When done, right click your mouse over any selected folder or sub-folder
in that structure (or any other folder structure you wish to change
into a template) and choose the 'Folder Properties'
(see Folder Properties).
When the window opens, change the status to 'Template'. Press Okay
to save your changes and MetriQ will update your selected Folder
to be a Template. Note: If cannot see your newly
created Template in the Folder View, make sure you have not filtered
it from view (see also View
By).
Using a Template: You can use a template to create new a Top-Level folder or as a new sub-folder as part of an existing folder.
Top-Level Folder: Right click your mouse anywhere in the main Folder View, but NOT on an existing folder. From the drop-down context menu select the Use a Template option to open the Template dialog window. Select the Template you wish to use and enter a name for the new folder. Press Okay to finish.
Sub-Folder: Right click your mouse on an existing folder in the Folder View. From the drop-down context menu select Use a Template option to open the Template dialog window. Select the Template you wish to use and enter a name for the new folder. Press Okay to finish.

| Include Icons: | Check this option if you wish the Templates Icons to be added into the new Folder. |
| Include Assigned Staff with Limited Privileges | Check this option if you wish to assign Limited Privileged staff to the new Folder (Note: MetriQ automatically assigns users with Full Privileges (see also Staff Administration Tool). |
| File > Import: | Use the File Import function to import a list of names to be used as the name for new Folders based on the template of choice (see also tutorial on Importing Folders). Note: The import file should not be comma separated. An example of a simple text file listing
of names to be imported: Using the template structure above, and importing the example file would result in:

Deleting a Template:
Select the template you wish to delete from the main folder view,
right click your mouse and select Delete Folder from the drop down
menu (see Folder
View to display or hide templates from day to day view).
Note: When creating Templates already populated with Icons, it should be remembered that Icons are unique to each user, and to each workstation. This means that to create a template populated with icons for all staff on the network, that template MUST be created with all the icons from each user. Typically this would mean that you 1. Create a new Folder with an appropriate structure. 2. Direct all staff to populated the would be template with the icons they require for their job function. 3. Change the status of this new folder into a Template.
Because all relevant staff added their own icons to the template, when a new Folder is created using your new template, the correct icons will be populated onto the users MetriQ desktop relative to each user.
Populating a Template with Icons:
MetriQ allows you to populate your templates with Icons. Simply create the template as detailed above, but before actually convert your Folder/User Folder structure into a template, add your icons (see also Populating MetriQ). Note: All icons within MetriQ are unique the the User and client Machine. This means if you want Icons from different machines to be re-created when a the template is used to create a new folder structure, that template would need to be filled with Icons from all client machines. Typically this would be done as follows:
Now when a new folder is created from this template, all staff will see the icons they requested be used.
