Export, Reports, Invoices and Charts with MetriQ Time Tracking Software

MetriQ combines Reports, Charts, Invoicing and Export into a single screen with the use of a general Reporting Tool. To open, press the Reporting button from the main MetriQ window or choose Tools > Reporting from the main menu.

MetriQ collects and stores a colossal amount of data with 4 ways to display your data; Export; Reports; Invoices; Charts. In each case, the data presented within these reports is dependant on how you initially filter the data.

Filtering: Filtering can be done in a number of ways; by selecting an appropriate date range (e.g. 1 Jan 08 to 31 Jan 08); by staff, all staff or groups of staff. Further refinement of the data set can also be made by determining if you wish to show data that belongs to a specific folder and/or a top-level folder with all it's sub-folders; billable and/or non-billable data; manual data entry and/or automated data entry.

Yet further data refinements can be achieved by using the Summarize options, whereby like for like are logically grouped. For example, you might wish to show all data summarized by folder, icon, staff or even by date. MetriQ even comes with a Report Builder (below) that allows you to build layered reporting outputs (e.g. the Henderson account for 1 Qtr 08, and the Mitchell account for 2 Qtr 08 in the same report).

Finally, MetriQ present data into 4 distinct subject areas. Timing Folders, Timing Icons, Disbursements and Workflow. Each of these areas will be covered in more detail later in this help documentation. An Options Tab is used to specify how your data will be displayed.

Note: MetriQ will show your reported data in either Units and hours:minutes:seconds. You can quickly change between these two values by using the F1 Key from within the MetriQ main menu or by permanently choosing which format you prefer in the Options and Settings section (see also Options). See Profiles for changing the unit size (number of whole minutes/unit).

WYSIWYG: Field visibility for Exporting and Charting within MetriQ is WYSIWYG (what you see is what you get). That is to say, that you can control the visibility of each field in the reporting tool from the Section Tab (detailed below). You can also alter the width of each field and swap the field order (by selecting the column header of the field with a left mouse click, and dragging it to the new column placement position you require). In addition, you can also Sort each column simply by right clicking your mouse of the desired column header (Note: To sort additional columns, hold the CTRL key as you select the column header).

Multi-Select: You can select more than one folder for presentation of data by selecting different folders while holding down the CTRL key.

Reporting Options:

Everybody hates timesheet applications Export Data:

Press the Export Button to export your data into one of the following formats.

Clipboard: Copy the contents of the data into the clipboard buffer ready for pasting into other applications. Choose from column or transposed column layout.
Excel: Export data to a Microsoft Excel spread sheet. Choose from Column or Tabular layout.
Html: Export data as an html document, ready for web-site publication. Choose from column or tabular column layout.
text: Export as text. Choose from column, CSV or transposed column layout.
xml: Export into xml format.

When exporting data, you will be asked how you would like your data formatted (with headers at the top of the page, or transposed, with headers along the side of the page). Simply make your selection, and MetriQ will export the data to your required format. Use the Options Tab to select 'Preview Export Data' if you wish to see the data live in its exported form.

MetriQ comes with a range of pre-designed Reports for each of the 4 Data tabs specified. Pressing the Report button will open a Report dialog prompting you for the name of your company (used as a header in the report). Choose a report from the Report Type drop down menu and press Open Report to continue. MetriQ will then prompt you to decide if you wish to view, print or save the report into text, Rich Text Format, Html, jpg, bmp and wmf formats.

Stop using timesheet applications Invoices:

MetriQ also comes with a range pre-designed invoices ready for printing, saving or viewing in much the same way as Reports (above). To create an invoice, press the Invoices button. MetriQ will them prompt you to enter the following details:

Billing Details Tab:

Client: The intended Client (see Client Administration).

Note:
When selecting a Client from the drop down menu, MetriQ will fill in all the required Client details asked for by the form. If you do not have any Clients or the Client you require is not in the Client database, then you must fill in the required (shown in bold) data fields manually.
Invoice No: Usually a unique alphanumeric number identifying each new invoice for the client.

Automated Invoice Numbering: MetriQ also allows for a basic auto numbering system with all new invoices. Specifically any numeric value after the : will be remembered and incremented the next time you create an invoice. So MyInvoice:124 will automatically become MyInvoice:125 the next time you create an invoice.
Order No: Your chosen Order Number (optional)
Type: The type of invoice you wish to print.
Invoice Description: A brief description of each invoice type is shown when you make your invoice selection.
Client Details: With the exception of Street2, all fields are mandatory. Either use the Client drop down to select a client or fill these values manually. Note: Use the Open Client Tool to add more Clients (see also Client Tool).

Company Details:

Company: The name of your Company as it's to appear on the Invoice.
GST Number: If applicable, enter your GST, VAT or Inland Revenue number.
Address Information: Enter the address of your Company, as it's to appear on the Invoice.
Disbursement Description: Use this free form data entry section to enter a description of disbursements or leave empty if not required.
Footers: Use one of the 4 lined footer data entry sections to add more specialized content relative to your invoicing needs.

Tax and Bank Details:

Tax Name: Enter the tax type you wish to use. Use the Open Tax Manager button if you wish to add or modify the existing tax items within MetriQ (see also Tax Manager).
Terms and Conditions: Payment terms to appear on the invoice.
Timesheet applications are not for you! Charts: MetriQ comes with over 15 different chart types, each user configurable in terms of data, axis labeling, rotation, 3D and display, helping to maximize how you present your data (see the Chart Tool).

Data Display Tabs:

The Reporting tool is arranged into one of four data tabs (and one option tab). Each tab has its own selection filters to extract the data you require, ready for Exporting, Reporting, Invoicing or in the creation of Charts.

Timing Folders:
The Timing Folders tab allows you to extract and view collected timing data and costs across all User Folders. This is the highest level of data granularity in MetriQ and is used to generate management reports and executive summaries (see also Timing Folders).
Timing Icons:
The Timing Icons tab is used to show the lowest level of granularity in MetriQ, and is able to show data collected at the Icon level (see also Icon Time Report).
Workflow: The workflow tab presents the sequence of folders used by staff as they work showing which User Folders were used, when and in which order. Use this data to validate a workflow model chosen at the beginning of the life cycle (see also Workflow Report).
Disbursements: Use this tab to display the disbursements used for each User Folder (see also Disbursements Report).
Options: Options that relate to each of the four data tabs described above (see also Options).

Selecting Your Fields:

Next to the Timing Folder Tab is your Selection Tab.

The Selection Tab has a unique set of data fields relative to each of the 4 data display tabs shown above. By checking a field name within the selection box, will ensure that data field is shown by MetriQ ready for Exporting and Charting. Conversely, un-checking a field will remove it from MetriQ's reporting display.

In addition, for each of the four data tabs and for each of the 'Summarize' filters, there is a unique set of factory selected fields. You can optionally add more fields to be visible or uncheck those fields you wish removed. Because MetriQ remembers the fields you select, you can at any time use the Reset to Default button (below) to restore to the factory settings.

Field Selection Buttons:

Select All: Select all fields from the Field Selector - applies individually to each Selection tab.
Timesheet application is not a good thing
Deselect All: Deselect all fields from the Field Selector - applies individually to each Selection tab.
MetriQ time Capture Reset to Default Settings: Reset Summarize Selection.

Builder Mode:

New to Version 8 is the Builder Mode, which allows you to build a single multi-filtered data set. To use, first place MetriQ into Builder Mode by pressing the Builder Mode buttonPro-Active Time Tracking, to reveal two new Buttons.

Add Filtered Data set: Use this button to add the current data set selection into the MetriQ data display. Now change your filter requirements. Perhaps by choosing a new folder or by changing the date range. Again press the Filtered Data set button, and data from the new set is also added to the MetriQ data display. Repeat until you have built your desired data set ready for exporting, invoicing, or charting.

Clear Filtered Data set: This button will remove all entries from the MetriQ data set ready to go again.
